Privacy

Invoice Bot is run by Night Shift Labs, a trading name of Dopamine Digital LLC ("we"). This page explains, in plain words, what we keep and why.

Free use (no account)

When you make an invoice without an account, it is made and stored in your own browser (localStorage). We do not receive it. A "preview link" puts the invoice inside the link itself; anyone you give the link to can read it.

Subscribers

• Account: your email address and your Stripe customer and subscription IDs and status, so we know your plan is active.
• Invoices and clients: the invoices you save (your business details, your clients' names and email addresses, line items, notes, pay link, paid/unpaid status and reminder history), so they work on any device and Invoice Bot can send them.
• Activity: a log of what Invoice Bot did (invoices sent, reminders sent, settings changed), your reminder balance and top-ups, and a count of chat messages, so we can show your weekly report and your limits. We don't keep your chat messages after Invoice Bot answers.
• Sign-in: a cookie that keeps you signed in for up to 30 days, and short-lived one-time sign-in links (stored only as a hash).

Payments

Payments are handled by Stripe. We never see or store your card number. Stripe's privacy policy applies to the payment itself.

Invoice and reminder emails

If you turn on reminders for an invoice, we email the invoice to your client, then send reminders from the due date on the schedule you pick while it is unpaid. Once a week we email you a short report. Each email names your business, links to the invoice, and lets the client stop reminders for that invoice. Replies go to your email address. You are responsible for having a reason to email your client (you are invoicing them for work).

AI provider (xAI)

When AI is switched on, the invoice facts needed for a task (client name, invoice number, amount, due date, your business name) and your chat messages are sent to xAI's Grok API to write reminders and answer you. Your notes, pay links and email addresses are not sent for reminder writing. If the AI is off or fails, we use a standard reminder text instead.

Where data lives

The site and database run on Cloudflare (Pages, Workers and D1). Emails are sent through Cloudflare's email service. We don't sell your data, we don't use ad trackers, and we don't use analytics cookies.

Keeping and deleting

You can delete saved invoices from your account page. To delete your whole account and data, email us from your account email at the address below and we'll do it within 30 days. Stripe keeps billing records as the law requires.
